An efficient information system for controlling managerial, especially strategic, information is of great importance for successful strategic management of a company. Such system periodically informs the management of a company and organizational units about deviations of strategic indicators from defined values.

Implementation:

When implementing Perftech.BSC the following steps are undertaken;

  • We define (or redefine) the mission and vision of the company; which is then fed into the system.
  • We prepare a S.W.O.T (strengths, weaknesses, opportunities and threats) analysis, on the basis of the defined strategies.
  • The strategic objectives and initiatives are transferred into the company’s strategic plan.
  • We complete the company’s strategic initiative with SWOT strategies on the basis of SWOT synthesis.
  • We identify and enter an action plan for each strategic initiative.
  • We define the Key performance indicator (KPI)
  • We connect this KPI with the company’s strategic initiatives and action plans.

A clear strategic vision is not enough.

The company’s strategic vision needs to be communicated and understood at every level of the organizational hierarchy. Top management is no longer solely responsible for a company’s organizational strategy; strategy implementation is everyone’s job.

What can’t be measured can’t be managed.

An efficient management system should develop matrices, collect and analyse data relative to the company’s; (1) financial, (2) customer, (3) business process and (4) the learning and growth perspectives. Perftech.BSC can set targets for each of these four indicators, so that vital measures are taken into consideration for early detection and direction. Therefore, employees will clearly understand what contribution is expected from them, they will also understand how they influence the realisation of targets in their respective units and the company as a whole. If the company’s incentive system allows; employees can then see what form of monetary reward can be expected by their improved performance.

Define targets
Example window: User (guardian, designer) create KPI by him selves, define type of aggregation to higher level, define cause and effects, define borders of success, guardian, formula, definition of indicator and strategy.

The Key performance indicators (KPI) are characterized by:

  • Name*
  • Purpose- what the KPI is measured with.
  • Influences- On which KPI it influences or is dependant upon
  • Success borders
  • If the KPI is either elementary or calculated from formulas
  • Frequency of measurement
  • The “guardian” or the person responsible for the specific KPI

* Every KPI can be named in two different languages, which enables us, to momentarily change the view of dashboard in its second language.

Dashboard is one of the significant features of our software, it shows all KPI structured by BSC perspectives or other additional perspectives if it is necessary. The same tool can be used by quality management, strategic and operational management, which enables a cheaper and easier management processes.

KPI on dashboard shows:

  • The value of KPI – by looking at the actual against budgeted index.
  • If the objectives are being achieved or not. This is shown by the position of the pointer in the specified color:
    • red color shows- below planned value
    • yellow color shows- KPI is on planned goals
    • green color shows- above to expectation
    • the trend indicator- shows where the company was in previous months
    • the “bomb” indicator- shows, that although the company exceeds expectation, there are other KPI perspectives that influence its realization and can cause potential threats.

All strategic measures are placed and interconnected in a matrix of perspectives and strategic themes in the Strategic map which is also interactive in the Perftech.BSC system. By means of measure semaphores (red, yellow, green colour at the side of the measure) on the crisis map, we can control if the crisis measures are realised regarding either deadlines or targets.

Other important features of Perftech.BSC

  • Balanced scorecard - portal reporting module

Perftech.BSC has WEB interface, which is for the use of all users, except for administrators or guardian.

Web BSC is devoted to reviewing the realization of the strategies, dashboards and reports from action plans. WEB interfacing can be used by performers that can report about tasks; that they performed from action plans for strategic objectives. It enables the creation of report templates which can be exported to PDF, Power Point, Excel and Word.

Employee can see a quick review of all tasks which needs to be performed in order to realize strategic objectives by logging in to WEB BSC. As a result of performing the tasks they can generate a report and attach the document as s result of their work. Responsible managers can supervise these tasks much easier and faster.

There is fast access to dashboards from all computers; however data can be viewed by persons in his own organizational unit. If the KPI is not up to standard the company can see the tasks which are linked and its timeliness in terms of performance.

For each period we can prepare reports for different purposes (board of directors, owners, press releases). The KPI that report must contain is defined, so that each KPI can be commented on, Reports prepared in this way can be automatically repeated every month. Therefore reporting is made much more easily.
